It’s tough to know how to communicate with a recruiter. You don’t want to be a pest, but you want to be sure that they know you are interested. Besides, they are probably working with many candidates and you want to stay top of mind. What’s the best way to keep in touch without making them dread seeing your name in their inbox?
Use a Clear Subject Line
Most people’s inboxes are packed with emails. You want the recruiter to be able to see at a glance who you are and what you want. “Ajax Corporation Warehouse Interview Follow Up” is a good subject line. “Anything yet?” is not. The goal of reaching out to a recruiter is to remind them of your interest and to get your name in from of them again.
Use a Professional Email Address
If your email address is from high school – you need a new one. One, it’s unprofessional, two; it could make it look like you (and your skills) are not current. Email accounts are free for the most part. Open an account at gmail or outlook and use a professional handle such as your first initial and last name. If you reserve this account for work-related correspondence, you have the added benefit of not needing to slog through nonsense to find a job offer or interview appointment.
Keep Your Tone Professional
Even if the recruiter seems pretty laid back, he’s not your drinking buddy, so don’t treat him like one. “Hi” may be okay, but “Hey” is usually not. Close the email out professionally as well. Create a signature that includes your full name and contact information, so the recruiter can just pick up the phone if they like rather than looking it up.
Get to the Point
Keep your email brief. Just a sentence or two is plenty to reinforce your qualifications, interests and to find out the hiring timeline. Stay in touch without being annoying by noting when the recruiter said they would contact you next. Give it maybe three days to a week after that date to follow up. You’re on the right track with email. It allows the recruiter to respond when they have time rather than being interrupted by a phone call.
